Hot Docs Canadian International Documentary Festival is a not-for-profit organization and North America’s largest documentary festival, conference and market. Held in Toronto each spring, the Festival presents 170+ Canadian and international films to audiences exceeding 130,000. For documentary professionals, Hot Docs offers the Hot Docs Forum, its renowned international market event, as well as a full roster of conference sessions, market events and networking occasions. JOB DESCRIPTION
The publications coordinator will work closely with communications staff, the associate director of communications and key staff in other departments to assemble and produce all public and industry publications for Hot Docs and the Hot Docs Forum. These include a 28-page public screening schedule and variations, a 212-page program guide, a 96-page industry guide, an 80-page Hot Docs Forum project catalogue, a 100-page guide to attending buyers, and various other smaller publications. Specifically, the publications coordinator will be expected to:
•    Manage critical paths set for each publication, enforcing and meeting deadlines •    Work with designers and associate director of communications to establish content
requirements, layout templates and pagination for publications •    Liaise with key staff in communications, programming, development and HDF departments to
track and secure content for publications
•    Prepare data outputs for designers
•    Manage content flow to copy editor and monitor the quality of work
•    Perform fact checking on copy
•    Oversee the proofing process with designers, ensuring appropriate sign off is secured when necessary
•    Liaise with the printer to secure quotations, deliver artwork and approve proofs
•    Liaise with the marketing coordinator around delivery of publications
General tasks include: assisting the associate director of communications as needed; fielding questions and phone calls; and responding to daily tasks as they arise.

KEY REQUIREMENTS
•    Experience managing large publications and working with designers and printers
•    Organization, planning and an attention to detail
•    Excellent grasp of grammar and spelling
•    Experience with Microsoft Office applications
•    Ability to work under pressure and meet tight deadlines
•    Ability to work independently and with a team
