We are looking for a Box Office Coordinator to help implement the box office and ticketing aspects during the festival! This is a paid seasonal contract position reporting to Reel Asian’s Operations Manager. Contract begins mid-September and ends after the November festival.
Responsibilities Include:
Box Office Planning & Implementation
- Participate as required in establishing ticket allocations
- Create and manage yearly TicketWeb set-up (change custom text, pass & pak items, rotator images, etc)
- Create and manage TicketWeb events for that year’s programming (import one-liners, process film stills, link to website & YouTube, etc)
- Assist the OM with creating & implementing VBXO & PBXO report sheets
- Produce the yearly screening vouchers
- Manage the BXO validation stamps
- Set up BXO supplies & equipment (VBXO rolly, screening folders, PBXO tub, BXO stationery unit)
- Assist the OM in recruiting, training, and scheduling BXO key staff & volunteers
- Support the director of marketing and other staff in implementing the Reel Asian Gives Thanks promotion
- Coordinating pre-fest ticket printing with other staff departments (e.g. sponsor block tickets, pre-defined blocks, etc)
Box Office Operations
- Operate the box office for pre-festival screenings as applicable.
- Supervise & expedite set-up & operations of same-day sales at each venue during the festival
- Liaise with the festival logistics assistant to receive the overnight will-call from T.O. Tix
- Troubleshoot customer service issues pertaining to box office or ticketing
- Take responsibility for floats and cashout of BXO (with OM or ED)
- Sign off on VBXO/FBXO report sheets
- Clean up, restock, and put away BXO supplies & equipment after the festival
- Assist the OM with compiling box office statistics for the BXO top sheet
- Participate in festival post-mortems and prepare a final report
Skills Required:
- Proficiency with the Macintosh computing platform and MacOS-X, Excel, MSWord required
- Previous box office and cash handling experience required, ideally in a film festival environment (please provide references)
- Familiarity with TicketWeb a definite asset
- Good communication and customer service skills, friendly attitude and professional demeanour
Time Commitment
- 2 day per week starting mid-September
- 3 days per week in October
- 5 days per week in November through the end of festival
- 1 day per week after the festival through mid-December
